Terms and Conditions

These Terms & Conditions set out how Jenny Williams Coaching Ltd (“we”, “our”, “us”) provides coaching services and what you can expect when you work with us. By booking or attending coaching with us, you agree to these terms.

1. Our Services

We offer Executive, Career, Team and Enneagram coaching, delivered online or in person as agreed.

Coaching supports reflection, learning, and change. It is not therapy, counselling, or professional advice (medical, legal, or financial).

2. Booking and Payment

Coaching sessions or programmes must be booked in advance.
Fees are payable in full before the first session unless we’ve agreed otherwise in writing.
Payment details will be provided by invoice or via our online booking system.
If payment is not received on time, we may pause or cancel sessions until it is.

3. Cancellations and Rescheduling

You may reschedule or cancel a session up to 72 hours before the agreed time.
Sessions cancelled with less than 72 hours’ notice will be charged in full.
If you arrive late, the session will still finish at the original time.
If we need to cancel or reschedule, we’ll give you as much notice as possible and offer an alternative date.
Programmes must normally be used within nine months of the first session, unless we agree otherwise.

4. Confidentiality

Everything discussed in coaching sessions is confidential.

We will not share information about you without your consent, unless:

we are required to do so by law or safeguarding obligations, or
disclosure is needed to prevent serious harm.

If we use examples in our writing or teaching, we will always disguise details so you cannot be identified.

5. Data Protection

We keep minimal personal data to manage your coaching and comply with legal requirements.

We handle your information in line with our Privacy Policy and the UK GDPR. Session notes are stored securely and deleted after a reasonable period.

6. Your Responsibilities

Coaching works best when you:

come prepared and take responsibility for your own learning,
attend sessions on time, and
follow through on agreed actions between sessions.

You confirm that you are fit to participate in coaching and will let us know of any condition that could affect your wellbeing or participation.

7. Team and Organisational Coaching

When we provide coaching to teams or on behalf of an organisation:

Confidentiality applies within the group, but shared learning or agreed feedback may be summarised for sponsors or HR partners if all parties consent.
The organisation remains responsible for internal employment matters and for ensuring coaching is used ethically and appropriately.

8. Materials and Intellectual Property

Any materials we share (e.g., handouts, Enneagram resources, or tools) are for your personal use.

All materials remain our intellectual property and must not be copied, shared, or used commercially without permission.

9. Outcomes and Responsibility

Coaching is a collaborative process.

We do not promise or guarantee specific outcomes or results.

You remain responsible for your own decisions, actions, and results inside and outside sessions.

10. Fees, Refunds, and Termination

Coaching fees are non-refundable once a programme has started, except at our discretion or as required by law.
Either you or we may end the coaching relationship at any time with reasonable notice.
If sessions have been prepaid, any remaining sessions may be refunded or transferred at our discretion.

11. Liability

We will provide coaching with reasonable care and skill.

Our total liability to you for any claim, however it arises, will not exceed the total fees paid for the coaching programme.

We are not liable for indirect or consequential loss.

Nothing in these terms excludes liability for death or personal injury caused by negligence, or for fraud.

12. Force Majeure

Neither of us will be liable for delays or failure to perform obligations due to events beyond our reasonable control (e.g., illness, internet failure, emergencies, pandemic, or extreme weather).

If this happens, we will rearrange sessions as soon as reasonably possible.
